Before You Upgrade
Before upgrading, consider communicating the changes below to your users so that they’re prepared for the changes. We recommend upgrading in a Sandbox environment first.
New Feature Highlights
Spring ‘20 contains some great new features. These include Board Hierarchy and configuring Board Types and Board Processes from the App Launcher.
What it does
Board hierarchies allows you to connect boards and display the related Boards in a single view. You can expand the related boards within the same view giving you an overview of the boards in one place.
To enable Board Hierarchy
Salesforce Admins will need to enable follow the Board Hierarchy feature and how to make it visible to users so that they can add the parent Taskfeed Board - the support document is here board Hierarchy Set Up
To view a Board Hierarchy
See this Support document - Board Hierarchy
Assign to Related Boards (Team Member Cascade)
A new option has been added when adding a Board Member that will assign the new Board Member to all related Board in the hierarchy.
Status Overview on a Parent board Board
The parent board status overview calculation shows the status of all tasks across all parent and child boards. You can see examples of how this works on this knowledge article - Parent board status Overview
Board Hierarchy in the Plan View
Each Board now shows as an expandable option in the Plan view. You will also see the percentage complete of each Board.
Board Hierarchy in Externally Sharing
When using External Sharing you will also give visibility to any child boards and tasks which are also set to public view.
Note: If you share the external URL for a child board, it will only give visibility to the child board and public tasks within that board.
Configuring Board Types and Board Processes from the App Launcher
Taskfeed Board Type
What it is: A one-stop shop for Taskfeed Admins to define and manage several options related to each Board Type in a simple view.
There are new options to allow you to define more bespoke experiences for each Board Type.
Setting Up a New Board Type Record
This support document shows you how to set up a New board type -Taskfeed Board Type
Owner Role for each Board Type
When defining a Board Type you can now choose an “Owner Role”. When this is defined it will work in two ways:
When a Board Owner is changed the new Owner will be added as a Board Team Member with the “Owner Role”.
When a Board Team Member is added with the “Owner Role” and the Board is owned by a Queue then the new member will be assigned as the Board Owner.
Board Queue for each Board Type
When defining a Board Type you can now choose a Default Board Queue. When a value is provided Taskfeed will automatically assign new Boards of this Type to the Queue.
Note: Enter the Queue API Name.
Board and Task Field Sets
Admins can now define their own Field Sets per Board Type for Board and Task scenes. Enter the Field Set name to see additional set of fields to the edit modal windows and record detail pane.
Board Record Type
Admins can now map Board Types to Record Types. This allows you to create different record types and therefore Page Layouts and filtered Picklists for each Board Type. When defined Taskfeed will change the Board Record Type based on the Board Type.
Taskfeed Board Process
What is it?
A process that can be set up by Taskfeed Admins to associate a Board Type to its own set of Stage values and Stage attributes. Board Processes are managed in the new Board Process tab in the App Launcher.
Taskfeed provides a default Board Process. When Board Types are created, each type can be associated with the default Board Process or a custom board process can be created with its own set of stages and attributes for each Stage.
Stage attributes include: defining a Board Status for each Stage, Success (or not), and the Display Order.
Success status: not all boards are successful when they are closed. When defining a Board Process, you can define which Closed Stage value is a Success and which ones are not.
Setting Up a New Board Process
To set up a new Board Process see this support document - Taskfeed Board Process
Shared Notes field (visible in external sharing)
What is it?
A new Custom field (Rich Text) in Taskfeed Task to add hyperlinks and formatted text in Tasks which is visible in External Sharing, to allow you to share additional information with your customers.
Existing Customers: Shared Notes are automatically added to Taskfeed Task edit modal field and record detail pane when upgrading to version 15.
How did this used to work?
In prior versions, in order to share links with customers, Salesforce Admins had to create a custom Rich Text Area field in Taskfeed Task and make the field visible in External Sharing through a Permission Set.
If you have added this customization to your org you might want to utilize the new feature from this version, or if you do not want to use the new field, remove this from the dit modal field and record detail pane so that you do not have empty fields.
Inline Edit from side pane
What is it?
You can now edit some fields from the side pane on the board view to save you having to open up the record. These are denoted by the blue edit pencil at the top left of the field.
This support document gives you some more information - Edit from side pane
